Mark an invoice paid from a payment email
Updated
When a payment-received email arrives (Interac, Stripe, Square, PayPal), HQ offers a one-tap way to close the matching invoice:
- Open the email in Mail.
- A 💰 Payment received banner appears with Mark invoice … fully paid. If several invoices could match, pick the right one from the dropdown. HQ picks one for you when exactly one is open for the amount and, if the email names the sender, the name matches the customer. Names are read as whole words, so money from Walmart is not taken as coming from someone called Art Smith. A different person with the same first name does not count, and accents do not matter.
- Click Mark paid.
HQ records the payment for the invoice's full remaining balance, dated to the day the email arrived, and the banner confirms ✓ Invoice marked paid. Nothing is recorded until you tap the button. The payment then appears in the invoice's Payments section and on the client's statement, on the day it arrived.
While a holdback is held on the invoice, the button is refused: one tap can't tell whether the customer sent the held-back amount as well. Release the holdback first, or enter the amount that arrived from the invoice itself.
When your Stripe account is connected in Ledger › Setup, Mark paid from a Stripe email is refused: Stripe also pays that money out to you, so marking the invoice paid would count it twice. Use Record payment with method Stripe and the payment's reference instead. Mark paid is also refused while a card payment the client made from the invoice's payment link is waiting to be confirmed: confirm it under Payments on the invoice.
