Add, deactivate or delete a shareholder
Shareholders live on Ledger › Accounting › Shareholders (the Owner & Loan Balances page), one card per person with their equity, draws and loan balance.
- Click Add shareholder, enter their name (email and ownership % are optional), and Save. On an incorporated book TALISK_HQ also opens their own shareholder loan account in your chart of accounts.
- To change a name, email or ownership %, click Edit on their card.
When someone stops being a shareholder, deactivate them. Click Edit on their card, untick Active, and Save. Their card stays on the page, greyed and marked inactive. Everything already recorded against them keeps their name, including T4 and T5 prep totals and their statement, and they are no longer offered when you choose who paid a bill or who a pay run or dividend is for. Their loan account stays in your chart, so a repayment to them still posts where it should.
Delete is only for a shareholder nothing refers to yet. If a bill or receipt they paid personally, their loan account, a pay run, a dividend, a repayment, a reimbursement, an owner draw or a capital contribution still names them (discarded, cancelled and pre-opening records included), the delete is refused and TALISK_HQ tells you what is holding it (for example, "2 bills they paid personally; 1 pay run"). Those records are real history, so TALISK_HQ won't leave them pointing at nobody. Choose Deactivate instead in that message to deactivate them in one step, or Keep as is to leave them unchanged.
On an incorporated book every shareholder has a loan account from the moment you add them, so a plain delete is always refused there. If you added someone by mistake and nothing has been posted to their loan account, the message names the account: delete it from Ledger › Accounting (the chart of accounts) first, then delete the shareholder.
