Duplicate an invoice

Billing the same customer for the same work again? Open the invoice and click Duplicate. You land on a new draft you can edit and send.

What the copy carries over

The customer, the job, the line items, your notes, the payment terms, the PO number, the currency, the tax province and any tax exemption. In other words, everything that describes what you are selling and who to.

What it does not

  • A new number, from your usual numbering, so the copy never shares an identifier with the original.
  • Today's date, with the due date moved to match. An invoice that was Net 30 is due 30 days from today, not on the original's old due date.
  • Nothing paid. No payments come across, and the copy starts as an unsent draft with no entry in your books. Nothing reaches the ledger until you send it, exactly as with any other new invoice.
  • Tax worked out again, from today's rates rather than copied. If a rate has changed since the original, the copy is right.

The original invoice is left completely alone. Duplicating does not cancel it, mark it, or change anything about it.

Copying a quote

Duplicating a quote gives you another quote, with a new quote number and its validity window measured from today. Handy for a similar job for a different customer: copy it, change the client and the details, send.

Reissuing a cancelled invoice

You can duplicate a cancelled invoice, which is the usual way to correct one. Cancel the original (that reverses its journal entry and keeps the audit trail), duplicate it, fix what was wrong, and send the new one.

When to use a recurring invoice instead

If the same invoice goes out every month, do not duplicate it by hand each time. Set it up under Invoicing › Recurring and TALISK_HQ drafts it for you on schedule. Duplicating is for the ad-hoc repeat.

Good to know: A duplicate is always a new draft with a new number, and it posts nothing until you send it. It carries none of the original's payments. A credit note cannot be duplicated. For something that repeats on a schedule, set up a recurring invoice instead.
