Save your usual lines to a price list

If you bill the same handful of lines over and over, save them once and pick them from a list instead of retyping them.

Saving your usual lines

  1. Go to Invoicing › Settings and scroll to Price list.
  2. Type the description exactly as you want it to read on the invoice, for example "Service call, first hour" or "Supply and install 1/2in copper, per ft".
  3. Put the price beside it and click Add.

You can also save a line straight from the invoice you are typing, which is usually easier: on any line in the invoice form, click Save. It goes into the price list with that wording and that price, ready for next time.

Using them on an invoice

On the invoice form, under the line items, choose an item from + Add from price list. TALISK_HQ fills in the description, the price and the quantity you saved, and you can change any of them on the invoice without affecting the saved item. Pick the same item twice if the job needs two of them.

Changing a price

Edit the price in the Price list table and it saves as soon as you click away. The new price applies to invoices you raise from then on.

Invoices you have already sent do not change. A saved item is a shortcut for typing, not a link: when you insert one, the invoice takes its own copy of the wording and the price, so re-pricing a call-out today does not quietly rewrite what a customer was billed last spring.

Retiring an item

Click Archive to take an item out of the picker while keeping it on this screen. Use it for a service you no longer offer. Restore puts it back. Delete removes it for good, and again, invoices raised from it are untouched.

What it is not

  • It is not stock. There is no quantity on hand, nothing is deducted when you bill an item, and nothing warns you when you run out. If you want cost of goods on your P&L, that comes from stock counts or per-product costs, not from here.
  • It is not a customer's agreed rate. Everyone gets the same list. If one customer is on a different rate, change the price on their invoice after you insert the line.
  • It is per set of books. If you run two companies in TALISK_HQ, each has its own price list.
Good to know: A saved item is typing help, not a stored price on a customer's account. Changing a price here never changes an invoice you already raised, and it is not a stock list: there are no quantities on hand and nothing is deducted when you bill it.
