Email your reporting pack automatically
You can have TALISK_HQ email your reporting pack on its own, when each period closes, instead of remembering to download and attach it.
- Go to Ledger, then Reports, pick Statements on the group row and open the Pack tab.
- In Email this pack on a schedule, choose Set up a schedule.
- Choose how often, which day of the month it goes out, and the hour. The hour is your own business's time, not ours.
- Choose the basis (accrual or cash) and whether to include a comparison column. These belong to the schedule, so changing them here changes what gets emailed. A new schedule starts on whichever basis you were already looking at.
- Add each person's email address under Who gets it.
Everyone has to confirm their own address
This is the part worth understanding. When you add an address, nothing is sent to it. TALISK_HQ emails that person a short note asking them to confirm, and only once they click the link and press the button on that page does the address start receiving your accounts.
Until then the address shows as Pending confirmation, and Resend sends the request again.
It works this way on purpose. A schedule sends your complete financial position to somebody, every month, without you looking at it each time. If you mistype an address, the confirmation simply never happens and a stranger never receives your accounts.
How often it can go out
- Every month, covering the month that just ended.
- Every calendar quarter (January to March, April to June, and so on).
- Every fiscal quarter, following your own year end. If your year ends in February, your quarters run March to May, June to August, and so on.
- Every filing period, which follows whatever GST/HST periods you actually file. This one is offered only once your GST/HST number is on the books, because without it there is no filing schedule to follow.
Days run from 1 to 28, so the schedule lands in every month including February.
What people receive
The same PDF you would download yourself, attached to a short email from your own connected mailbox, so the sender is a name they recognise. You can attach the Excel version as well; the PDF goes on its own unless you ask for it.
Each person gets their own separate email, so nobody sees who else is on the list, and every message carries a link they can use to stop receiving them.
What we keep, and what "changed since" means
Under What we have sent you will find every send, with the exact document that went out. Download the PDF we sent gives you that file, not a fresh one, so what you see is what they hold.
TALISK_HQ also records the figures that were in it. If you post something into a period after its pack has gone out, that entry line will tell you which figure moved and by how much, and how many entries have landed in the period since. The document already sent does not change, and TALISK_HQ does not quietly send a corrected one. Whether to send an updated pack is your call.
If a send does not work
You get an email, and a card appears in Books health explaining what happened. Common causes are that nobody has confirmed their address yet, or that no email account is connected to this set of books.
Fix the cause, then use Send now to run it immediately rather than waiting for the next period.
If a schedule fails three times in a row it pauses itself and says so on the card, rather than quietly retrying forever. Turn it back on once the cause is fixed.
If a send was interrupted partway (a deploy restarting the job, say), it is recorded as failed rather than left saying "Queued", and you are told the same way.
Stopping it
Pause stops the schedule without losing the list of recipients. Removing a person stops their emails only. Anyone who receives a pack can also stop their own emails using the link at the bottom of the message, and when they do, we delete their address.
