See every Stripe or Square payment, including pending ones

Updated

Open this in Talisk HQ

Once Stripe is connected, it appears on Ledger › Banking › Accounts under Payment processors, beside your bank and card accounts. Click its row to expand it and list every payment, refund, Stripe fee and payout on your Stripe account, newest first. A payment shows up as soon as Stripe takes it, days before Stripe pays it out to your bank.

Each Stripe or Square row also says whether your clients can pay invoices by card through it: Card payments on, Card payments need attention (HQ needs you to reconnect or approve something first), Take card payments when they are off, or Payouts only when card payments are on through your other processor, since they can be on through one at a time. Every one except Payouts only opens the card payments section of Invoicing › Settings, where you turn card payments on and off.

The same list is on Ledger › Banking › Transactions: pick Stripe (read only) in the account filter. It shows all of your Stripe activity, not just the period you have chosen.

Each row names the customer (as Stripe has them), the amount, Stripe's fee and what you keep. The Status column says how far the money has got:

  • Pending: Stripe has the payment but it is not available yet. The line under it says the day it becomes available.
  • Available: Stripe can pay it out. HQ has not picked up a payout that carried it, either because Stripe has not paid it out yet or because the payout is older than what HQ has synced.
  • In a payout: Stripe has paid it out and HQ has picked up that payout.
  • Posted ✓: that payout is in your books.
  • Paid out ✓: that payout has reached your bank and is matched to the deposit. The line under it names the deposit; click it to open the bank line. The payment itself is not matched to anything: its payout is.

A payout's own row says where the payout is: On its way (with the day it should arrive), Paid ✓ once it has landed, or Failed. Once the payout is matched to its bank deposit, its row says Matched ✓ instead. Every payment and fee that row carried says Paid out ✓ and opens the same bank line.

If Stripe needs you to reconnect, the list says so instead of loading; reconnect from Ledger › Setup.

Click Show older at the bottom for earlier activity.

Square

A connected Square account has its own row under Payment processors. Click it to expand its activity: every payment and refund on your Square account, newest first, read from Square as you open it, with its payouts listed below. It reads like the Stripe list: the customer when Square has one, the amount, Square's fee and what you keep, and a Status column.

  • Pending: Square has the payment but has not settled it yet.
  • Available: Square has settled it. HQ has not picked up a payout that carried it, because Square has not paid it out yet or the payout is older than what HQ has synced.
  • In a payout, Posted ✓ and Paid out ✓ mean the same as for Stripe.
  • Failed and Canceled are payments Square did not take.

A payment a client made on an invoice you sent them is labelled Invoice payment, not a sale: it is booked against the invoice. A refund shows as a negative row; it reaches your books in the payout that carries it.

Payments from before you connected Square appear here too, because the list is read from Square, not from HQ's records. If Square needs you to reconnect, the list says so; reconnect from Ledger › Setup.

Why I can't categorise a Stripe or Square payment

HQ records Stripe and Square once for each payout: one entry for the deposit that reaches your bank, with the payments and Stripe's fees inside it. Categorising a single payment as well would count that sale twice, so these rows are for looking at, and the payout's bank deposit is the line that goes in your books.

Why a payment is not on my bank statement yet

Stripe pays out in batches, not one payment at a time. Your bank receives one deposit for each payout, so a single customer's payment is matched to the bank through the payout that carried it. Until Stripe pays it out, the payment is only on your Stripe account, which is why it shows Pending or Available here and nothing appears in your books.

Until Stripe is connected, Payment processors on Accounts says so and offers Connect Stripe, and the Transactions filter does not list it. You can also connect it from Ledger › Setup.

Good to know: Stripe's and Square's activity is read only: it shows what is on the processor's account and posts nothing, and its rows cannot be categorised. Your books record Stripe money when a payout is paid, and that payout is what matches your bank deposit.
