Let a worker log their own hours
If you have a crew, you do not have to collect paper timesheets and type them in. Each worker gets their own link, saves it to their phone, and logs their hours at the end of the day.
Send the link: Go to Invoicing › Workers. Add the worker if they are not there yet, then click Invite to log hours, enter their email address, and send. They get an email with a link.
What they do: They open the link, pick a PIN of 4 to 8 digits, and that is the setup finished. From then on the link takes them straight to a short form: pick the job, type the hours, pick the day, and add a line about what they did if they want to. They can remove hours they logged by mistake, as long as those hours have not been invoiced yet.
What you see: Their hours appear on the job's Time entries panel exactly like hours you keyed in yourself, tagged with their name, and they roll into the job's next invoice the same way. You can edit or remove them like any other entry.
What the link does and does not open
The link is not a TALISK_HQ login. It opens one page:
- They see their own hours and nobody else's.
- They see the titles and numbers of your open jobs, so they can pick one.
- They cannot see your books, your bank, your invoices, your customers, your email, or your other books.
- They cannot set their own charge-out rate. The rate comes from the job.
- They cannot log hours as a different worker. Every entry is recorded as them.
Housekeeping
Somebody has left, or lost their phone. On Invoicing › Workers, use Turn off to stop their link working straight away. New link sends a fresh one and stops the old one at the same time, which is what to use if a phone goes missing. Deactivating a worker also stops their link.
Nothing has come through. The status beside their name says whether the link has been opened yet. Invited, link not opened yet means the email arrived but they have not set a PIN, so check they got it and look in their junk mail. Resend link sends it again.
They say the job is not in the list. Only active jobs are offered. If the job has been marked invoiced or complete, it is closed to new hours, so reopen it if the work really did continue.
They say TALISK_HQ will not take their hours. The most likely reason is that the job has no hourly rate on it yet. TALISK_HQ refuses rather than saving hours at zero, because hours at zero look logged and add nothing to the job's cost. Open the job, set its default hourly rate, and ask them to try again.
Two things this is not
It is not payroll. What you record here is hours and job cost. TALISK_HQ does not run pay, withhold anything, or produce a T4 or a T4A.
It is not a way to give somebody access to your books. If you want a bookkeeper in your account, that is a different thing entirely, with its own permissions.
